Ways to improve Employees Efficiency
Achieving maximum employee efficiency and cutting down cost are two of the biggest challenges for any Entrepreneur. Companies train managers and sometimes pay thousands of dollars for their outsourced training and certificates, just to be able to find effective ways to maximize employees productivity and lower down expenses. We do not know what type of business you have, but in this blog we will cover ways to improve employees efficiency.
Identify Your Employees Skills
Have you ever met a physician who became a very successful comedian, making thousands of dollars per night show? I did. Not all certificates reflect the real skills of who’s holding it. Many follow careers based on their family’s choices.
Know your Employees
I do not know you, but I know there is at least one employee under your management who has skills different than these required for their jobs. You definitely have at least one employee who applied and got that job for the sake of money. They were just desperate for a job.
When you get to know your employees better, you will understand why certain employees are not performing well or feel their job is a burden that they have to push harder than others to finish the required tasks. Match their skills with their job requirements. Don’t hesitate to move your employee from the sales department to the customer service department if that matches their skills better. This one employee might end up saving these customers you were about to loose.
Ask for the reasons behind preferences
Don’t be shy to ask your employees why they enjoyed a specific task or motivated with a certain project. Ask questions until you are able to determine what exactly made them achieve that very high level of performance. Is it the type of project? Is it the product or service covered in that project? Or is it the team they worked with?
Inquire about your Employees’ dreams
You will be shocked; in a good way, when your employees open up to you and share their dreams. I once knew that programmer who was working in an escalation department. His job was to receive escalated complaints from customers. A job that was completely different that what he loved doing. If you know your employees dreams, you can fit them into the right position. May be you have that sales person who is always performing well and is so loved by his coworkers because he is so cooperative and helpful at all times. If you inquire about his dream, you might realize he has leadership skills and dreams to be a team manager. Promoting him to that position will lead to having a whole team achieving the required target rather than one person achieving it. By knowing one employee’s dream, you were able to spike your company’s sales.
Outsource if You Need to
If you have that one project or task that you require for a certain period of time but do not have that employee who has these required skills, do not hesitate to reach out to another business that offers the service. Do not push your employees to do a job that is outside their skills measurements. We; for example, are specified in Data Entry and Content uploads on Websites. We help businesses rank high on search engines and we also help them with their social media platforms. We are not website builders though. When we need to add or change anything on our website, we hire a company to do that for us.
Automatize Routine Tasks
Conversations about how automation can improve productivity and reduce costs for businesses are often coupled with stories of how automation is taking jobs away from workers. Yet according to a report by McKinsey Global Institute, less than five percent of jobs consist of activities that can be fully automated. Employees do not enjoy routine tasks, they find it boring. Managers do not like routine tasks either. They believe if they can do something about it, they will save these many minutes per day per employee. They can then use this time in a more productive and efficient way. Here are some examples of routine tasks:
Printing Invoices
The time it takes law firms to process and publish client invoices can be grouped into two categories. Those that get it done in a week or less, which is about 40% of firms and those that take a week or longer, which is about 60% of firms. These findings stem from the 2018 Aderant Business of Law and Legal Technology Survey. Keep in mind this survey uniquely polls business of law professionals such as those that typically support law firm finance and billing processes.
This can be a huge time consuming for certain businesses. Automatizing invoice printing is a great solution if your employees consume part of their working hours to accomplish that task.
Filing
Like most businesses, you create tens of thousands of documents each year. Although they are necessary, these documents will quickly pile up. The more documents you have the more time you and your employees will need to organize them. Managing them all can be a struggle. When such a large pile of physical documents stacks up in your office, it can feel as though you’re drowning in paperwork. Automatizing your filing tasks can take off the burden of physical records management.
Emails
Many teams find themselves frustrated, losing time switching between apps, having endless meetings to get aligned with each other, and being counter-productive. Email templates are an easy way to save time on repetitive emails. Whether you’re sending a quote, preparing a cold outreach or an internal employee reminder, simply embed a template into your compose window.
Machine Operations
In today’s globally competitive business environment, manufacturers continually strive to improve their performance by enhancing the production line’s effectiveness to meet the needs of an ever-changing market. It takes time for your employees to set the same machine to perform different operations within the day. Automatizing machine operations can have a great impact on the production line and time consumption.
Writing & Drawing
If you are in the world of Architecture and Construction, drawing an entire project can take you days if not weeks to finish that task. But today; thanks to technology, 3D Printers can take that burden off you and your employees. With such a slight adjustment, you are able to save your employees energy to focus on the project itself and bring up more of their creative skills in drawing designs that are eye catching. That will increase your sales and definitely your marginal profit.
